Job description – Roles & Responsibilities

  • Lead the Business Support team, ensuring that they are a high performing team.
  • Develop and maintain the Document Management System
  • Implement and maintain document control processes and procedures
  • Deliver outstanding reporting that measures the teams key performance indicators
  • Keep up to date with administrative, auditing and reporting responsibilities required of the position
  • Contribute to the formation of the Information Systems Strategic Plan

Responsibilities/Tasks:

  • Manage all flows of documents either in electronic form or on paper support
  • Ensure Document Management accordingly to established procedures or standards (documents numbering, formats, issuance, review, dispatch, recording and archiving)
  • Maintain and manage electronic and hard copy documents as required
  • Process incoming documentation (registration in the central repository, internal distribution, archiving)
  • Process outgoing documentation (transmit to Client and Suppliers/3rd parties) and ensure control and coordination of all documentation and data
  • Makes sure that controlled copies of latest approved documents are distributed internally and externally (Clients and Suppliers)
  • Ensure all documentation are correctly identified, distributed and filed/stored
  • General document control activities such as photocopying, scanning, analysis of suppliers documents compliance with individual business line standards regarding numbering and all others aspect related to document quality
  • Maintain a centralised repository of client pricing, benchmarks and negotiated rate contracts for quick references.
  • Create and maintain a current and latest data warehouse for all procurement pricing and structures.
  • Assistance in the preparation collation and issue of reports and registers as may be required
  • Communicate and liaise with all stakeholders, Suppliers/3rd parties to agree standards, systems, efficient flow of documentation, handover and close-out of pricing activity to ensure consistency in market approach as required
  • Monitor technical documents review and approval in accordance with agreed schedule
  • Monitoring of documentation progress in cooperation with the relevant stakeholder.
  • Produce internal and external (Clients and Suppliers) over-due reports in coordination with finance
  • Ensuring the use of standardized forms and templates
  • Set-up relevant archive folders and facilitate communication protocols
  • Establish and maintain the Master Document Register in cooperation with the relevant team members Collate, produce and submit QA Documentation for Clients

Job Summary/Goals

To align with Central Procurement and be responsible for managing all aspects of the procurement service delivery in India for IFM clients and execute Procurement strategies for local and/or national initiatives for facility services. Manage supplier relationships including administrative and operational activities and issues.

Ensure all sourcing and contracting standards are maintained as per laid down guidelines by central procurement. In this capacity, the Procurement AM is accountable for the achievement of the Management Plan and all key performance indicators including responsibility for managing the budgets, short and long-term regional projects, operations and maintenance, interface with senior managers in client business units, coordination with other key managers within IFM alliance partner organizations and customer satisfaction. Support regional and national sourcing initiative as specified by Head Procurement.

Essential Duties and Responsibilities

  • Responsible to execute the Procurement strategy for IFM in India.
  • Ensure proper communications with site teams.
  • Provide detailed instruction and continuous follow-up to support the operations team in standardized RFQ/bid and contract processes.
  • Negotiate pricing and terms with vendors to provide best possible solution to clients.
  • Manage information of Purchase Orders issued by clients and Embassy to vendors.
  • Manage information on cost savings and provide reports on Cost Savings whenever required.
  • Identify opportunities to consolidate supplier base wherever possible to leverage on volume economies.
  • Identify suppliers, capabilities, share of business, products pricing to establish standardisation of rates for requirements.
  • Provide liaison between vendors, site teams, finance team and management to ensure timely payments to vendors.
  • Ensure timely issue of Purchase Order to vendors
  • Demonstrate continuous effort to improve procurement operations, decrease turnaround time and streamline work processes.
  • Manage data integrity and provide adhoc reports whenever required by the management.
  • Ensure compliance to Embassy standard processes and procedures.
  • Be proactive and manage internal and external customer expectations.
  • Run RFPs / RFQs / Analyze the vendor / select the best logical vendor and recommend to the client
  • Be responsible for Statutory compliance program for sub vendors across India.
  • In consultation and collaboration with IFM team leads/ Ops Mangers oversee the operation, staffing, performance and development of the sub-contractor service delivery across all sites.

Additional Duties And Responsibilities

  • Ensure timely issue of PO’s to vendors.
  • Manage own portfolio vendors.
  • Ensure all Procurement and savings related data is maintained accurately.
  • Ensure data security and sharing of data on need to know basis.

Qualifications

  • Graduate. Diploma in SCM and PG in Management will be preferred.
  • Qualification: BE (preferable)
  • Experience: 2-3 Years as Procurement/operations Executive-Technical

Job Description:

  • Capable to understand the Technical requirements of utilities like lifts, DG, escalators, UPS, etc and coordinate with vendors for the quotes
  • Knowledge about vendors of operation and maintenance Sectors
  • Ability to do the Techno-commercial analysis for the Repair and maintenance requirements
  • Basic Knowledge on Electrical and Mechanical assets which are part of building operations and Maintenance scope involved
  • Advanced skill on Microsoft office
  • Knowledge on Purchase Order creation
  • Knowledge on SAP ERP MM Module will be an advantage.
  • Excellent communication skills in order to coordinate with internal stakeholders and vendors
  • Knowledge on basic Negotiation.
  • Basic Knowledge on Taxation, contract terms and conditions.
